HCA Membership Rules

Hampshire Chinese Association

Welcome to the Hampshire Chinese Association (HCA). By becoming a member, you agree to follow our membership rules, designed to ensure a respectful, safe, and supportive community for all.

Purpose of Membership

Membership exists to:

  • Support and empower the Chinese community in Hampshire
  • Promote cultural exchange and understanding
  • Encourage participation in cultural, educational, and community activities

Eligibility

Membership is open to:

  • Individuals aged 16+
  • Families (up to 4 people in one household)
  • Students with a valid ID
  • Seniors aged 60+

HCA reserves the right to approve or decline applications.

Membership Categories

  • Individual Membership
  • Family Membership (up to 4 people)
  • Student Membership
  • Senior Membership (60+)

Membership fees apply according to the category selected.

Membership Term

  • Valid for 12 months from the date of joining
  • Renewal reminders will be sent
  • Membership fees are non-refundable

Member Conduct

All members must:

  • Act respectfully toward others
  • Support an inclusive, welcoming environment
  • Avoid harassment, discrimination, or disruptive behaviour
  • Follow venue and event rules
  • Respect cultural differences within the community

HCA may suspend or remove members for serious misconduct.

Participation

Members are encouraged to:

  • Attend events, classes, and community programmes
  • Volunteer and get involved in HCA initiatives
  • Share feedback to help improve our services

Participation is optional, and members choose their level of involvement.

Data Protection

  • Personal information is used only for HCA administrative purposes
  • Data is stored securely and handled under GDPR
  • Members may update or request access to their data at any time

Health & Safety

Members must:

  • Follow safety guidance during events and activities
  • Notify staff of any relevant medical conditions
  • Understand that participation is at their own risk (except where law requires otherwise)

Volunteering & Committee Roles

Members may apply for:

  • Volunteering opportunities
  • Committee or leadership roles during open calls

All volunteers must follow HCA policies.

Membership Termination

Membership may be terminated if:

  • Rules are violated
  • Conduct harms HCA or its members
  • Fees remain unpaid or membership isn’t renewed

Members may appeal decisions in writing.

Amendments

HCA may update these rules at any time. Members will be informed of major changes.
